Authentication and Onboarding

The authentication system provides secure access to the platform while making it easy for users to log in and set up their accounts. This guide explains the different login methods, the onboarding process, and how new users are invited to join.

Logging In

The platform offers multiple ways to authenticate, giving you flexibility in how you access your account. When you visit the login page, you'll see options for signing in with your email and password or using external authentication providers such as Google or Microsoft.

For email-based login, simply enter the email address associated with your account and your password. This is the traditional authentication method and works for all users who have completed the onboarding process.

For a more streamlined experience, you can use the Sign in with Google or Sign in with Microsoft buttons. These options use your existing Google or Microsoft account credentials, eliminating the need to remember a separate password for the platform. When you click one of these buttons, you'll be redirected to the respective service to confirm your identity before being returned to the platform. Accounts must first be created by the person administering the programme. And when you log in, the email must match what is on the system. i.e. if you gave a work email address to the administrator but try to Log in with Google using a personal Gmail account.

If you've forgotten your password, Reset Password allows you to request a password reset email. This email contains a secure link that lets you create a new password and regain access to your account.

Invitation Process

New users are added to the system through invitations. When an administrator adds you to the platform, you'll receive an email with the subject Your new Awardist account. This email explains that you've been invited to collaborate on a specific programme and includes a unique link to set up your account.

The invitation link is valid for three days from when it was sent. For security reasons, each invitation link can only be used once. If your invitation expires before you use it, you'll need to contact the programme administrator to request a new invitation, or you can Reset your password.

Onboarding Process

When you click the invitation link in your email, you'll be directed to the onboarding page where you'll complete your account setup. This one-time process collects essential information and preferences.

First, you'll need to provide your full name, which will be displayed throughout the platform and in communications with other users.

The onboarding process also requires you to review and accept the platform's Terms and Conditions and Privacy Policy. These documents outline how the platform operates and how your data is handled. You must accept these terms to proceed with creating your account.

Finally, you'll be asked about your communication preferences. You can choose whether to receive email updates from the platform and from the specific programmes you're enrolled in. These preferences can be changed later from your account settings.

Account Security

To maintain the security of your account, the platform implements several best practices. Passwords are securely stored using industry-standard encryption techniques. One-time login links expire after use or after a set period, preventing unauthorised access.

If you notice any suspicious activity on your account, you should immediately change your password and contact your programme administrator. Similarly, if you receive an invitation email that you weren't expecting, do not click the link and instead report it to the appropriate contact.
